Wednesday, May 19, 2021, 3:44 p.m. CT: Starting this weekend of May 21st, we will no longer have the COVID-19 after hours call line. If your chapter’s facility is still open, please continue to follow the COVID-19 reporting procedures that have been in place all year and let your House Director or your Assistant Director of Properties know. We will continue to send out communication as needed to relevant parties letting them know of cases in your house. Thursday, August 20, 8:50 a.m. CT: Due to the current financial hardships facing collegiate chapters, AOII’s Rituals, Traditions and Jewelry Committee (RT&J) has elected to postpone the release of our revised Ritual Publications until 2022. Collegiate Chapters no longer need to include the fees for revised Ritual Manuals in their 2020-2021 budgets. These resources include the Ritual Book, Book of Ritual Instructions (BRI) and the Ritual Education Manual (REM). When released, the new REM will be a digital only publication, while the Ritual Book and BRI will remain printed resources.

Monday, May 29, 12:00 p.m. CT: While we know the landscape of COVID-19 is changing almost daily, we are actively working on formulating plans for our chapters with facilities for the 2020-2021 academic year. We will communicate these plans and intentions, as they affect your chapter specifically, just as soon as we have them. We anticipate that if this will affect reduction in capacity at your facility, that we will share that information in the next few weeks. If it will not affect your chapter’s capacity, but will affect other areas, we will share that plan-of-action prior to your chapter’s move-in. Please know we are continuing to monitor local and federal government updates, CDC guidelines, and university statements and protocols being released. Should you receive any information that could be relevant to these decisions, please forward that communication to your appropriate Assistant Director of Properties.

Thursday, April 2, 5:58 p.m. CT: AOII 2020 Virtual Leadership Institute

We have been evaluating all aspects of our operations including our summer Leadership Institute event planned for June 19-20 in Franklin, Tennessee. Keeping the health, safety and well-being of our members, volunteers, delegates, staff and guests as our top priority, the AOII Executive Board has voted unanimously to cancel our 2020 on-site Leadership Institute experience this year.

In place of the on-site event, we are excited to announce a Virtual Leadership Institute will be held enabling even more members to participate in the sisterhood, education and celebrations that are highlights of every LI. Click here for more information about this event.

Thursday, April 2, 8:23 a.m. CT: Online Pledge Service of Collegiate Chapters now available

RT&J has unanimously agreed that, during this time, the Pledge Service for Collegiate Chapters may be performed by a CP in an online setting. Any chapter in need of this service should contact their ADCE to receive the service that has been slightly modified for online execution. Chapter Presidents, Chapter Advisers, New Member Educators, sponsors and New Members should participate. Though they do not have a role in this service, KORs should be invited to participate if they are available. If possible, RT&J advises that New Member Educators and KORs meet with the New Members in advance to explain what to expect. The New Member will need to know that, in general, she will be asked to respond with I do, I am and I will. The NM should listen to the beginning of the question to know what to say. Also the New Member will be asked to say her full given name at one point.

RT&J also recommends that especially under these circumstances the use of an education module in the days following the Pledging Service. This service is from the Rituals Education Manual and is Reflections on Pledging AOII. It could easily be used in a NM online meeting. The KOR could lead this along with the NM Educator and it is recommended the sponsors participate also. Some KORs may not have access to their Ritual Education Manual so a copy of the module can also be obtained from your ADCE.

Thursday, March 26, 12:35 p.m. CT: Updated Statement on Room, Board, and Development Fees: During April, May and June we will remove all late fees, including on all Corporation late fees*, should you be unable to make payments on typical due dates. Further, we will permit promissory notes to be extended through August instead of the end of the fiscal year (June 30th). If you need to complete a new promissory note in lieu of this, please feel free to work with your local chapter accordingly. We are truly hopeful these decisions will help in providing relief to our sisters during this season of unexpected hardship.

While we are still in conversation surrounding reduction in room & board costs for Spring 2020, we expect to have updates in the coming weeks and will share them as soon as we know more.

Thursday, March 12, 3:27 p.m. CT: The overall health and wellness of our members deserves our utmost care and attention. Alpha Omicron Pi continues to monitor the global health situation Coronavirus/COVID-19 and is actively discussing contingency plans for collegiate and alumnae chapter operations. Our main priority is the health and well-being of our members.

With this information, we ask that each collegiate and alumnae chapter (Chapter President or delegated officer) conducts a wellness inventory of each member. This is including each member’s physical, mental and emotional well-being. Reach out to your members in whichever method makes sense for your chapter; text, call or email.

Chapters and members should use CDC guidance in evaluating operations, events and activities for the remainder of the year. Collegiate chapters where the college or university is closing or implementing any restrictions due to the coronavirus, please contact Bailey Read, Director of Collegiate Experience, at bread@alphaomicronpi.org or call (615) 370-0920.

For those experiencing restrictions or closures on campus, we have resources available to provide your chapter with the tools to meet virtually through an online meeting platform. Chapter Presidents, please contact your Assistant Director of Collegiate Experience or Assistant Director of Growth for assistance in setting this up as well as procedures for electronic voting. Impacted alumnae chapters who are interested in meeting virtually, please contact Kayla Reszka, Assistant Director of Alumnae Engagement, at kreszka@alphaomicronpi.org or call (615) 370-0920 for more information.

AOII Properties is monitoring university/college communication and will work with each facility individually to mirror campus plans. If you have specific questions, please work directly with your Assistant Director of Properties. Should a facility be closed for the remainder of the semester based on campus plans, this will be communicated directly from the AOII Properties team.

We will share additional information as needed and will handle situations on a case by case basis in conjunction with your chapter needs.
